Job Description

Effective information management (IM) – the ability to store, find and securely share information – is vital to the work of GCHQ.  The Information Management Hub (IM Hub) leads on enabling effective IM across the Department.  It includes a number of teams that support the user aspect of IM tools, such as our electronic document and records system, intranet and collaborative working tools, as well as the physical Archives.

Our information specialists work in all the teams across the IM Hub and we would aim to place you in a role that suits your background and experience as well as our business need.

The following descriptions introduce the different teams.

The Web team is responsible for delivering an intranet service that provides best practice information management as well delivering effective collaboration and knowledge-sharing platforms.

Information Specialists are responsible for running the support service for our intranet, including our WCMS and collaborative business tools.

Troubleshooting and problem solving is a big part of the role and team works together to answer customer queries and fulfil requirements. These can range from creating collaborative community spaces and web pages to building web applications or processes that solve information issues.

The team are currently working on delivering a new WCMS so knowledge or experience in this area is useful. Good information management skills are required including working on taxonomies and web architecture.

Customer service is key to a good member of the team. Customer interaction happens daily. Tasks can be slow burn or fast-paced changes, often supporting department-wide initiatives or communications.

The Corporate Records and Information Management Team is responsible for ensuring that the business understands how to manage information effectively and understands and maintains the information needed for our corporate record.

As a team member you’ll be working alongside a team of information specialist and generalist colleagues to deliver a range of services to customers, which may include:

•    Providing an enquiry service to customers to deal with queries they have relating to physical records, our Electronic Document and Records Management system (eDRM), information access management and general queries about information and records management good practice

•    Undertaking legal searches on request from the policy team to meet external requirements

•    Developing training packages and guidance pages for users, delivering training and managing our network of business points of contact

•    Working with the business to improve review, retention and disposition processes and ensuring users understand what they need to do

•    Understanding what impacts on users ability to meet good information management requirements and providing this information to managers so that it can be used for future planning of services
The role requires the ability to engage with a range of stakeholders across the business and to develop a thorough understanding of their working practices and needs.

The Secure Information Management Team is responsible for providing the tools to enable the department to share its information securely and ensure that the right people have access to the information they need.

We ensure that people know how to protect their information and how to share it with others securely.

We provide the framework, guidance and tools to make this happen.

The role requires the ability to work with people across the department; and to develop a good understanding of their working practices and their requirements for sharing and collaboration.

It requires someone with the ability to solve problems and someone with the ability to balance priorities and respond to the challenge of managing competing demands.

We need a team-player who is happy to work with colleagues to deliver the requirements of the team.

The Legal Proceedings and Inquiries team manages all GCHQ’s disclosure to Courts and Inquiries and responds to other legal actions – including Freedom of Information and Data Protection requests, and Investigatory Powers Tribunals.

As a team member, you will deal with FOIA requests, work on data protection requests from the public and provide advice to our staff, and lead on the review of historic files intended for release to the public. Your role will involve advising other government departments on how to respond to FOIA requests and deal with Subject Access Requests under the Data Protection Act. You will also be expected to contribute to improving team processes and procedures.

You need an eye for detail, people skills, a strong contribution to delivery and analysis and decision-making.  You need to be able to interpret the law and policy, and be able to cope with ambiguity and complexity. Expertise in data protection is not essential although a background in policy, legal or information management is required for this post.
